What Is That Open Role Costing You?

An unfilled seat is not free. This calculator gives you a conservative, salary-based estimate of what a vacancy has already cost you — in about 30 seconds.

Coverage strain: 1.0 = salary cost only. Higher values account for teammates covering the work, overtime, and lost output — you control the assumption.

The math, out in the open: daily cost = annual salary ÷ 260 workdays, times your multiplier. Cost so far = daily cost × days open. Cost per week = daily cost × 5. No black box.

The plan to stop the bleeding

  1. Tighten the brief. One page, must-haves vs. nice-to-haves, agreed by everyone involved before anyone is interviewed. A shifting brief is the most common reason a search stalls.
  2. Benchmark the pay first. Check the offer against today’s market before you interview, not at offer time. Finding out your range is light after three rounds of interviews wastes everyone’s weeks.
  3. Move in days, not weeks. Work from a real shortlist, and give feedback within 48 hours of every interview. Good candidates are talking to more than one company; silence reads as a no.
  4. Pre-close the offer. Test the full package — pay, bonus, vehicle, per diem, start date — before the final interview ends, so the written offer holds no surprises for either side.
  5. Call it what it is. If the seat has been open 30+ days, the process is the problem, not the market. Talk to a recruiter who already knows the candidates for the role.

Estimate only. The salary-only figure (multiplier 1.0) counts the value of the unfilled seat’s pay across workdays; real vacancy cost varies with revenue impact, overtime, and team coverage. Compiled by The Perillo Group.
